A couple who tours the property books at a far higher rate than one who only enquires online, so the job of venue media is to turn a browser into a site visit. The showcase covers every event space, not one room: grounds and exterior aerials, an FPV walkthrough of each space, HDR stills, and vertical cuts sized for a weekly posting cadence. Event-day coverage is quoted by duration, crew count, and delivery window, and most weddings run $1,750–$3,200.

What venue coordinators ask first.

How far in advance should venues book?

For empty-venue showcase shoots (grounds + ballroom + exterior), 2–3 weeks is comfortable. For event-day coverage, 4–6 weeks is ideal, we limit weekend bookings in wedding season (April–October) to keep quality high.

Do you shoot the actual event, or just the venue?

Both. Venues typically book us once for empty-mode showcase content (the version that goes on your website and Instagram feed), then separately for live event coverage when they want a specific wedding or gala captured. Many venues bundle the two.

What does event-day coverage include?

Typically: grounds aerials before guests arrive, ceremony FPV coverage from a respectful distance, reception ballroom shots, first-dance aerial, and a sparkler/exit capture. Deliverables: a 60–90 second highlight reel plus a 3–4 minute extended cut. Turnaround is 5–7 business days.

Can we work with an outside wedding planner or marketing firm?

Yes, and often preferred. We take direction from planners, venue marketing teams, or outside agencies the same way we'd take it from a DP on a production set. Shot lists, call sheets, and brand guidelines are all welcome.

What about indoor ceremonies or dance floors?

Our FPV cinewhoop rigs are ducted, safe to fly indoors at low altitude, including over occupied dance floors and ceremony processions when the venue approves. We coordinate with venue staff on altitude rules and quiet-hours windows.

Weather?

Empty-venue showcase shoots: we reschedule free of charge for rain, high winds, or low visibility. Event-day coverage: we show up regardless, most weddings don't move for weather. FPV cinewhoops cover indoor reception if outdoor ceremony is compromised.

Can the couple or client buy the footage from us directly?

Yes, if the venue owns the primary deliverable and wants to resell/license to the couple, or if the couple wants to commission us independently of the venue. Standard pricing, we coordinate rights and licensing up front.

Are you insured for ceremonies and dance floors?

$1M liability. Certificate of insurance with additional insured endorsement available on request, we'll name your venue and any relevant vendor or estate. FAA Part 107 certified.

Do you travel beyond Charlotte?

Charlotte metro is standard. Ballantyne, Myers Park, Lake Norman, Fort Mill, Waxhaw, Concord. For destination venues in the Carolina mountains, coastal regions, or beyond, we travel with notice. Out-of-metro shoots quoted with travel.
